Overview
This Data Use Policy explains specifically how Your Promissory Note handles the personal and transaction data you provide when using our document generation service. This policy supplements our Privacy Policy and is intended to give you a clear, plain-language explanation of what happens to your data.
What Data We Collect and Why
When you use our service to generate a promissory note, you provide information about the transaction. This typically includes names and addresses of the lender and borrower, details about the loan terms, and in some states additional required fields such as collateral descriptions.
We collect this data for one purpose: to generate your document. We do not use this data for marketing, profiling, or any purpose unrelated to fulfilling your document request.
How Your Form Data Is Stored
Your form data is stored in an encrypted format in our database. It is associated with your transaction record and used to:
· Generate your PDF document immediately after payment
· Support re-download requests within 5 days of purchase
· Allow us to regenerate your document if a technical issue occurs
How Long We Keep Your Data
Form data is retained for 5 days from your purchase date. After 5 days, your form data is automatically and permanently deleted from our systems. This deletion is handled by an automated process that runs nightly.
Transaction metadata (payment confirmation, document type, state selected, download history) is retained for accounting, fraud prevention, and legal compliance purposes. This metadata does not include the personal details you entered into the document form.
Who Can Access Your Data
Your form data is accessible only to the automated systems that generate and serve your document. It is not accessible to third parties, advertisers, or data brokers.
Our staff may access transaction metadata for customer support and technical troubleshooting purposes. Staff do not access form data except when necessary to resolve a specific technical issue you have reported.
Third-Party Data Processors
We use a small number of third-party services that may process data on our behalf:
Stripe
Processes your payment. Your card details are handled entirely by Stripe and never pass through our systems. Stripe is PCI DSS compliant.
Resend
Delivers your document download email. Your email address is passed to Resend solely for the purpose of sending your download link.
Cloud Hosting Provider
Hosts our servers and database infrastructure. Your encrypted data resides on secure cloud infrastructure in the United States.
Cloudflare
Provides DNS and network security services. Cloudflare may process your IP address and request metadata as part of its standard network operations.
None of these processors are authorized to use your data for any purpose other than providing services to Your Promissory Note.
We Do Not Sell Your Data
Your Promissory Note does not sell, rent, trade, or otherwise transfer your personal information to third parties for commercial purposes. Period.
Data Security Measures
We implement the following measures to protect your data:
· Form data is encrypted at rest in our database
· All data transmission between your browser and our servers uses HTTPS/TLS encryption
· Database access is restricted to application systems and authorized staff
· Regular backups are maintained with the same encryption standards
Despite these measures, no security system is impenetrable. We cannot guarantee that unauthorized third parties will never be able to defeat our security measures or access your data in ways that violate this policy.
Your Promissory Note is not responsible for unauthorized access to your data resulting from hacking, cyberattacks, or other malicious acts by third parties that occur despite our reasonable security precautions. By using this service, you acknowledge this inherent risk.
Your Rights
You have the right to request information about the data we hold about you. Because we delete form data after 5 days and do not associate transaction records with identifiable personal profiles, there is limited data available after that window.
